This policy explains what personal data DataOptix collects, why, and what you can do about it. In short: we collect what you send us through an enquiry or newsletter form, we use it to reply to you or send what you asked for, and we do not track you around the web. Who we are
DataOptix provides data centre smart hands services. For the purposes of UK GDPR we are the data controller for the personal data described in this policy. You can reach us at info@dataoptix.co.uk.
What we collect
We collect only what you actively give us. We do not buy contact lists, and we do not build profiles of site visitors.
- Enquiry forms: your name, work email, company, city, the service you need, urgency and your message.
- Engineer applications: your name, email, city, skills and the experience you describe.
- Newsletter: your email address, and the fact that you confirmed your subscription.
- Analytics: aggregate page view counts with no cookies and no individual identifiers.
Why we use it
Our lawful basis for responding to enquiries and applications is legitimate interest, specifically responding to someone who has contacted us about our services. Our basis for the newsletter is your consent, given through double opt-in.
- To reply to your enquiry and quote for the work you asked about.
- To assess an engineer application and run the vetting process.
- To send the newsletter you confirmed you wanted.
- To understand which pages are useful, in aggregate only.
Cookies and tracking
This site uses cookieless analytics. We do not set tracking cookies, we do not use advertising pixels, and we do not share behavioural data with third parties. That is why you are not being asked to accept a cookie banner.
Our analytics provider records aggregate page views and referrers without storing an identifier that would let us or them recognise you on a return visit or across other sites.
Who we share it with
We use a small number of processors to run the site and communicate with you. Each is bound by contract to process data only on our instructions.
- Our hosting provider, which serves the website and processes form submissions.
- Our email provider, which delivers transactional replies and the newsletter.
- Our content management provider, which stores published website content.
How long we keep it
- Enquiries: for as long as we are in contact about the work, and up to two years afterwards so we have context if you return.
- Engineer applications: for the duration of the vetting process and, if you join the network, for as long as you work with us.
- Newsletter subscriptions: until you unsubscribe.
- Aggregate analytics: retained without any personal identifier attached.
Security
Enquiries and applications are stored separately from published website content, in a private datastore that is not publicly readable. Access is limited to the people who need it to respond to you. The site itself has no public login, no user accounts and no publicly exposed database.
Your rights
Under UK GDPR you can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it, or object to our using it. You can withdraw newsletter consent at any time using the unsubscribe link in any issue.
To exercise any of these rights, email info@dataoptix.co.uk. We will respond within one month. If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
Changes to this policy
If we change how we handle personal data we will update this page and change the date at the top. Material changes affecting newsletter subscribers will also be sent by email.
